AI Workflow Integration That Respects Your Systems and Permissions

Systems APIs Ownership

We integrate websites, CRMs, databases and compatible business applications so automation and AI steps share authoritative data, without exposing credentials broadly or building fragile one-off scripts nobody maintains.

/What we do

Defining ai workflow integration that delivers results

01

What AI workflow integration involves

Secure connections so automation reads authoritative data from the tools you already run.

02

Problems this addresses

Copy-paste between systems, stale exports and AI that guesses because it cannot see the source of truth.

03

How it works in practice

Scoped credentials, clear ownership of each connector and failure paths that queue for humans.

04

What can be automated

Syncs, triggers and enrichments, bounded by permissions and idempotent design.

How AI workflow integration is structured

What AI workflow integration involves

Integration is the plumbing that makes automation trustworthy: authenticated APIs, webhooks, scheduled synchronisation, middleware when needed, and clear ownership of master data. “AI workflow” means those connections also serve agent steps, retrieval, classification, summarisation, within the same permission model as deterministic automation. We document endpoints, payloads, error codes, retry policy and monitoring before production traffic flows.

Work is individually scoped and quoted based on system count, API quality and security requirements. Starting prices appear on our pricing page; we do not imply unsupported vendor partnerships.

Problems this addresses

  • Useful tools remain isolated; staff copy data by hand several times per day.
  • Previous integrations broke silently when passwords rotated or APIs changed.
  • Automation projects stall because nobody agreed who owns credentials and field mapping.
  • AI pilots read stale exports instead of live authorised data, undermining trust.
  • Security concerns block innovation because access was granted too broadly in experiments.

How it works in practice

Discovery inventories systems, data classes and compliance sensitivities. We design integration architecture: which direction data flows, conflict resolution, idempotency keys and staging environments. Implementations use supported APIs first; file-based or manual bridges are documented compromises when APIs are absent. AI steps consume the same integration layer, never parallel shadow copies of customer data without governance.

See Connecting AI Automation With Existing Business Software and How to Prepare Your Business for AI Integration for preparatory guidance.

What can be automated

  • Website and form events creating or updating CRM records and internal tasks.
  • Status synchronisation between operational tools within agreed schedules or triggers.
  • Secure read connections feeding reporting, agents or dashboards with least privilege applied.
  • Webhook normalisation so downstream automation receives consistent payloads.
  • Error queues with alerting when vendors rate-limit or return unexpected responses.

Process design example

An SME runs a WordPress site, a cloud CRM and a helpdesk that do not talk to each other. Sales copies form submissions; support cannot see deal stage. The integration layer: verified form posts create CRM leads with UTM attribution; when CRM stage moves to “customer,” a read-only link exposes account tier to helpdesk via embedded sidebar data served from a small middleware service; nightly job reconciles mismatched email addresses and flags duplicates for admin review, not auto-merge. AI summarisation of ticket threads runs only after ticket closure, using retrieved CRM context for internal QA, not customer-facing send. Each connection is logged, versioned and owned by a named internal administrator.

Integrations and data

We classify personal, financial and operational data; apply minimisation; and align retention to your policies. OAuth, service accounts and scoped API keys are stored in secure secret management where available. We advise when on-premise constraints require VPN or hybrid patterns. Formal compliance certifications are not claimed generically, they are scoped when you require them.

Permission gates across connected systems

Write integrations that create financial or legal records include approval or review steps where you specify. Destructive operations, mass delete, bulk update, require explicit safeguards and often manual triggers. Audit logs support investigations when data looks wrong.

Technical considerations

API versioning, pagination, timezone fields and character encoding cause subtle bugs; we test them explicitly. Retry storms are prevented with backoff. Monitoring includes latency, error rate and queue depth. Documentation enables your team or us under support to rotate credentials without rediscovering architecture from memory.

Implementation process

  1. Systems and data-flow workshop; security and ownership sign-off.
  2. Integration design document with sequence diagrams and failure modes.
  3. Staging credentials; contract tests against vendor sandboxes where available.
  4. Phased production rollout with rollback plan.
  5. Handover documentation and support registration.

Integration projects succeed when someone on your side owns credentials, field definitions and vendor relationships. We facilitate workshops with IT, operations and department leads so connectors are not “the automation person’s side project.” Where you already run AI business automation pilots, we align integration scope with those boundaries rather than opening wide admin access for convenience.

Integration testing and failure paths

Contract tests validate payload shapes; chaos tests simulate API outages. Load tests respect vendor limits. User acceptance verifies business outcomes, not merely technical success codes.

Maintaining integrations as tools change

Vendor API deprecations are inevitable; support retainers can include proactive monitoring of changelogs and regression runs. We train your team on credential rotation and safe schema changes. When a connector fails at month-end close or peak booking windows, response expectations and escalation paths are agreed upfront, not improvised under pressure.

Integration work often unlocks later phases: once CRM and helpdesk share a reliable customer key, Customer Service Automation and Sales & Lead Automation become safer to expand because they are not built on duplicate spreadsheets.

Integration boundaries and non-goals

We cannot integrate safely where vendors prohibit automation or APIs are undocumented scraping targets. Legacy on-premise systems may require phased approaches. Integration alone does not fix undefined business rules, discovery may redirect effort to process design first. We avoid common automation mistakes such as skipping ownership and monitoring.

/Investment

AI Workflow Integration starting price

Development from €2,000 One-time starting implementation fee

Ongoing management from €350/month Optional starting monthly fee

A tailored integration that allows selected business applications to exchange information through a defined automated workflow.

Ongoing management covers the agreed monitoring, maintenance and support requirements of your implemented solution. Final monthly fees depend on the systems, integrations and level of support required.

Ongoing management is optional. Documented handover without managed service is available when that arrangement suits your team.

What the starting development price covers

  • Review of existing integration options.
  • One defined cross-system process.
  • A limited set of supported integrations.
  • Data mapping.
  • Error handling.
  • Testing and handover.

Complex APIs, unsupported systems, bidirectional synchronisation and enterprise security requirements are separately quoted.

What ongoing management typically covers

Standard ongoing management covers the agreed maintenance and monitoring of the implemented solution. Each proposal identifies the covered systems, monitoring approach, corrective-work allowance, support hours or windows, reporting rhythm, usage limits and whether hosting is included. Unlimited support, unlimited AI usage and 24/7 coverage are not included unless expressly agreed. New features, additional integrations, API fees and AI model usage are quoted separately. For SEO & Digital Intelligence, monthly management covers the agreed analytics and reporting implementation, not a full SEO retainer.

What affects the final project cost

Workflow complexity, number of integrations, API quality, data requirements, security and permissions, interfaces, testing depth, and support obligations all influence the final quotation. Development and monthly management are never combined into a single published total.

Business Consultation & Discovery: €500

The full consultation fee is credited toward the related one-time development project when the agreement is signed within 30 calendar days of receiving the completed assessment. Discovery credit does not apply to ongoing monthly management fees.

Published prices show one-time starting development fees and starting ongoing management fees (/month). They exclude applicable taxes. Final invoices reflect the applicable tax rules for your customer type and place of supply.

/Q&A

Frequently asked questions

Do you build custom APIs for our internal tools?

When necessary and agreed, we expose controlled endpoints or middleware services, scoped separately from simple connector work.

Can integrations run in our cloud only?

Deployment models are discussed during scoping, some clients prefer infrastructure in specific regions or providers.

How do AI models access our CRM?

Through the same scoped integration layer, often read-only retrieval with logging, not by sharing admin passwords with third-party chat UIs.

What if our previous integrator left no documentation?

We reverse-engineer cautiously in staging, preferring rebuild over fragile patches when risk warrants it.
