What document and administration automation involves
Intake, classification, extraction and filing with review before records or clients are affected.
Home / Services / Document & Administration
We streamline how documents arrive, how they are classified, how key fields reach structured records, and how routine administrative reminders fire, so staff spend less time sorting inboxes and more time on work that requires judgement.
/What we do
Intake, classification, extraction and filing with review before records or clients are affected.
Manual re-keying, lost attachments and admin that only moves when someone remembers.
Documents enter a controlled pipeline; exceptions route to people with the original file attached.
Sorting, field extraction, reminders and draft filings, not unsupervised legal or financial commitments.
/Our approach
01
Document taxonomy and retention workshop with operational owners.
02
Sample corpus for classification and extraction tuning (anonymised as needed).
03
Pipeline build in staging; parallel run against manual filing.
04
Training on review queues and exception handling.

This capability covers inbound files and messages, metadata and naming discipline, extraction of fields for review, routing to cases or folders, and scheduled administrative tasks, renewals, compliance checks, follow-ups on missing paperwork. AI assists classification and extraction; humans confirm before entries affect clients, finances or legal records unless you define low-risk auto-file rules explicitly.
Projects are individually scoped and quoted. We do not claim legal archiving certification or sector-specific compliance unless that scope is written into your engagement.
Intake channels, email aliases, portals, form uploads, feed a processing pipeline: virus scanning hooks where you provide them, format validation, OCR or text extraction when needed, classification against your taxonomy, and a review queue for low-confidence items. Approved documents land in controlled storage with consistent naming; extracted fields populate draft records awaiting confirmation. Reminder workflows track dates you define, lease renewals, training expiries, policy acknowledgements, with escalation when overdue.
Pair with Business Process Automation for wider orchestration and Custom AI Agents when unstructured email threads need summarisation before filing.
A property management team receives maintenance invoices, inspection reports and tenant correspondence by email. Previously, coordinators saved attachments manually and sometimes lost thread context. The redesigned flow: dedicated intake addresses feed a queue; invoices are classified and fields extracted to a review screen; approved items attach to the correct unit record and notify finance; inspection reports route to compliance with due-date reminders; ambiguous scans escalate with side-by-side preview. Nothing posts to owner statements without human sign-off. Similar administrative intensity appears in property management and property workflow automation discussions.
Document stores (cloud drives, DMS, case systems), ERP or finance tools, and CRM records may participate. We respect retention policies and access roles; extraction logs note source files for traceability. Personal data minimisation applies throughout. Connections are implemented via AI Workflow Integration patterns with documented credentials ownership.
Financial postings, client-visible document publication and legal submissions require named approvers. Low-confidence classifications never auto-file silently by default. Staff can correct taxonomy; corrections feed quality review cycles.
Scan quality, multilingual documents and handwritten notes affect extraction accuracy; we set expectations accordingly. Large files and batch uploads need queue management. Versioning prevents overwriting the wrong attachment. Fallback to manual intake remains available when pipelines fail.
Document-heavy operations: professional services, healthcare administration (non-clinical records coordination), property, and education and training providers managing enrolment paperwork.
Document automation rewards patience in taxonomy design. Rushing to auto-file every PDF type usually creates expensive rework when auditors or clients ask for a coherent trail. We therefore phase go-live by document family, perhaps invoices before correspondence, so reviewers build confidence and correction data improves classification without overwhelming staff. Where automation elsewhere in the business already creates tasks, we attach document review to those same ownership rules rather than inventing a parallel queue.
Healthcare administration engagements stay strictly non-clinical: appointment paperwork, consent forms logistics and similar coordination, not diagnosis or treatment decisions. Your qualified professionals retain authority over clinical judgement; our scope is administrative throughput with checkpoints you define.
Tests include poor scans, multi-document PDFs, wrong recipient uploads and integration timeouts. Accuracy metrics are tracked on your samples, not generic benchmarks we invent.
Taxonomy updates, new document types and storage migrations are supported per agreement. Periodic review of correction rates indicates when to retrain classification rules.
Support also covers seasonal volume planning, knowing when intake queues need temporary reviewer capacity rather than pretending automation alone absorbs every spike without human attention.
Each document automation programme is scoped and quoted individually for your volumes and systems.
Extraction is not infallible; human review remains central for high-stakes records. We do not replace qualified legal review of contracts. Destroying or legally holding records must follow your counsel’s direction, automation implements rules you approve.
/Investment
Development from €2,000 One-time starting implementation fee
Ongoing management from €290/month Optional starting monthly fee
Automation for a defined document or administrative process, with appropriate validation and review.
Ongoing management covers the agreed monitoring, maintenance and support requirements of your implemented solution. Final monthly fees depend on the systems, integrations and level of support required.
Ongoing management is optional. Documented handover without managed service is available when that arrangement suits your team.
High-volume processing, complex document types, regulatory requirements and advanced integrations require additional scoping.
Standard ongoing management covers the agreed maintenance and monitoring of the implemented solution. Each proposal identifies the covered systems, monitoring approach, corrective-work allowance, support hours or windows, reporting rhythm, usage limits and whether hosting is included. Unlimited support, unlimited AI usage and 24/7 coverage are not included unless expressly agreed. New features, additional integrations, API fees and AI model usage are quoted separately. For SEO & Digital Intelligence, monthly management covers the agreed analytics and reporting implementation, not a full SEO retainer.
Workflow complexity, number of integrations, API quality, data requirements, security and permissions, interfaces, testing depth, and support obligations all influence the final quotation. Development and monthly management are never combined into a single published total.
Business Consultation & Discovery: €500
The full consultation fee is credited toward the related one-time development project when the agreement is signed within 30 calendar days of receiving the completed assessment. Discovery credit does not apply to ongoing monthly management fees.
Published prices show one-time starting development fees and starting ongoing management fees (/month). They exclude applicable taxes. Final invoices reflect the applicable tax rules for your customer type and place of supply.
/Q&A
No. We automate intake and coordination around systems you designate as authoritative.
Batch projects are possible but scoped separately based on volume and quality, often phased.
Subprocessor and deployment choices are agreed per project; sensitive workflows may use retrieval-only or private deployment patterns.
Service automation focuses on conversational enquiries; document automation focuses on files, records and admin timers, though they may share intake email addresses coordinated in design.
