How custom AI platform projects progress

What custom AI platform development involves

When multiple disconnected tools and spreadsheets become the real system of record, a bespoke platform can unify intake, status, permissions, reporting and assisted workflows in one controlled experience. Engagements include discovery, UX for operational roles, backend architecture, integration with existing systems, AI feature design with guardrails, deployment, and handover documentation. Platforms may serve internal staff, clients or both, with role-based access throughout.

Every platform project is individually scoped and quoted. Starting prices for platform work appear on our pricing page; we do not use template demos pretending to be your product, or unverified security certifications.

Problems this addresses

  • Generic SaaS forces awkward workarounds and duplicate data entry.
  • Leadership lacks a single operational view across teams and tools.
  • Client-facing status updates are manual, inconsistent or buried in email.
  • Specialist workflows, quotes, cases, inspections, programmes, need a controlled interface AI can assist inside, not a chat window bolted on.
  • Growth exposes permission and audit gaps in improvised spreadsheets.

How it works in practice

We treat the platform as a product with defined personas: administrator, operator, reviewer, client viewer. Core entities mirror your domain language. AI features attach to entities, summarise a case thread, suggest next task, classify intake, not unbounded general chat. Integrations sync with CRM, finance or document stores via AI Workflow Integration patterns. Releases follow staged environments with acceptance tests you recognise.

Smaller automation needs may be better served by Business Process Automation or Custom AI Agents first; we advise honestly during discovery.

What can be automated within the platform

  • Role-based dashboards aggregating authorised metrics and open work.
  • Client portals showing project or service status without exposing internal notes.
  • Workflow engines enforcing stages, approvals and required fields.
  • AI-assisted drafting, classification and search across permitted records.
  • Notifications, SLAs and audit logs native to the platform, not duct-taped email rules.
  • Export and reporting for management review with human narrative fields.

Process design example

A growing property group tracks maintenance, owner approvals and contractor assignments across email and three SaaS tools that do not share permissions cleanly. The bespoke platform: unified intake for tenants and managers; case entity with timeline, documents and approval gates; contractor assignment with mobile-friendly status updates; owner portal showing approved summaries only; AI assists coordinators by summarising long threads and suggesting priority from policy keywords, never auto-approving spend. Finance receives structured export when cases close. The platform integrates existing accounting via API rather than replacing it day one. This aligns with themes in property management workflows and property management operations.

Integrations and data

Platforms become a hub, not always the legal system of record for every field. We document master data ownership, sync direction and conflict rules. Hosting region, backup, access logging and encryption are chosen to match your risk discussion, not assumed defaults. Personal data processing follows minimisation and retention you approve.

Governance inside the platform you own

Platform workflows embed approvals for financial, client-visible and policy-sensitive actions. AI suggestions display provenance and confidence cues where useful. Administrators configure roles; changes to permission models are logged.

Technical considerations

Stack choices balance maintainability, your internal skills and integration needs, discussed transparently, not imposed secretly. Performance, accessibility and mobile use are scoped requirements. AI model updates may require regression testing on domain-specific prompts. Disaster recovery and deployment rollback are planned before go-live.

Business types that benefit

Growing SMEs, agencies needing client visibility, property groups, and service operators with specialist stages not served by horizontal SaaS. International or multi-brand operators may need configurable roles, scoped accordingly.

Implementation process

  1. Discovery: personas, entities, success metrics, non-goals.
  2. UX and technical architecture review with your stakeholders.
  3. Iterative build in sprints with demo environments.
  4. Integration, security review and penetration testing if you commission it separately.
  5. Training, documentation, go-live support and optional retained evolution.

Platform programmes need product thinking even when the “product” is internal. We capture non-goals explicitly, features that sound attractive but would distract from the first reliable workflow, so scope creep is visible early. Sprint demos use realistic data you recognise, not lorem ipsum placeholders that hide awkward edge cases. When AI features ship, they include operator controls to disable or roll back assistance without taking the whole platform offline.

Clients comparing build versus buy should weigh licence fees alongside change latency: how quickly can you adapt when regulation, pricing or service lines shift? Custom platforms trade higher initial investment for fit; we quantify that trade honestly when a lighter BPA phase might suffice for years.

Platform QA before go-live

Functional tests per role, permission negative tests, integration contract tests and usability sessions with real staff, not merely developers. AI features tested on anonymised samples with edge cases for misuse.

Platform evolution after launch

Platforms evolve: new regulations, new services, API changes. Support agreements cover bug fixes, dependency updates and agreed feature increments, quoted separately from initial build when appropriate.

Platform scope we keep honest

Custom build takes longer and costs more upfront than subscribing to generic SaaS, it pays back when fit and control matter. We will recommend against a full platform when a focused automation phase solves eighty percent of pain. We do not claim compliance certifications unless assessed under your contract. Miguelito AI. Part of Bricat Media, delivers as a consultancy engagement, not an anonymous mass-market product vendor.

Custom AI Platforms starting price

Development from €6,500 One-time starting implementation fee

Ongoing management from €750/month Optional starting monthly fee

A bespoke software application developed around a clearly defined operational requirement.

Ongoing management covers the agreed monitoring, maintenance and support requirements of your implemented solution. Final monthly fees depend on the systems, integrations and level of support required.

Ongoing management is optional. Documented handover without managed service is available when that arrangement suits your team.

What the starting development price covers

  • Requirements assessment.
  • Preliminary application architecture.
  • Defined minimum viable functionality.
  • Appropriate interface and backend development.
  • Basic access control where required.
  • Testing, deployment and handover.

Complex multi-tenant systems, extensive integrations, advanced security, sophisticated permissions and enterprise-scale requirements are quoted separately.

What ongoing management typically covers

Standard ongoing management covers the agreed maintenance and monitoring of the implemented solution. Each proposal identifies the covered systems, monitoring approach, corrective-work allowance, support hours or windows, reporting rhythm, usage limits and whether hosting is included. Unlimited support, unlimited AI usage and 24/7 coverage are not included unless expressly agreed. New features, additional integrations, API fees and AI model usage are quoted separately. For SEO & Digital Intelligence, monthly management covers the agreed analytics and reporting implementation, not a full SEO retainer.

What affects the final project cost

Workflow complexity, number of integrations, API quality, data requirements, security and permissions, interfaces, testing depth, and support obligations all influence the final quotation. Development and monthly management are never combined into a single published total.

Business Consultation & Discovery: €500

The full consultation fee is credited toward the related one-time development project when the agreement is signed within 30 calendar days of receiving the completed assessment. Discovery credit does not apply to ongoing monthly management fees.

Published prices show one-time starting development fees and starting ongoing management fees (/month). They exclude applicable taxes. Final invoices reflect the applicable tax rules for your customer type and place of supply.

/Q&A

Frequently asked questions

Do we own the source code?

Ownership and licensing terms are defined in your proposal, typically you receive deliverables suitable for ongoing operation, with optional handover to your developers.

Can this start as a small MVP?

Yes. MVPs still require clear scope boundaries so “temporary” spreadsheets do not persist silently alongside the platform.

How is AI different here versus agents?

Agents often orchestrate external tools. Platforms embed assistance inside a unified interface with your entities and permissions, sometimes both are needed, scoped as related workstreams.

Will you host the platform?

Hosting models, managed by us, by you, or hybrid, are agreed during scoping with documented responsibilities.
