/What we do

Defining process automation that delivers results

01

What business process automation involves

Connected steps across tools so work moves with clear ownership instead of stalling in inboxes.

02

Problems this addresses

Duplicate entry, lost handoffs, unclear approval status and processes that only exist in people’s heads.

03

How it works in practice

We map the real path of work, then automate deterministic steps while keeping human gates where risk warrants them.

04

Human approval and accountability

Named roles approve sensitive steps; every material change is attributable.

How business process automation is designed

What business process automation involves

Business process automation (BPA) maps how work enters your organisation, how it is decided, recorded and completed, then replaces or supports manual bridges with reliable digital steps. That includes triggers (forms, status changes, schedules), transformations (formatting, validation, enrichment from authorised sources), routing (teams, roles, SLAs), notifications, and audit trails. AI may assist specific steps, such as classifying intake, but BPA itself is judged on predictable outcomes and clear ownership.

Miguelito AI engagements start from operational reality: shadowing the current path, identifying failure points, and automating the smallest valuable segment first. Every workflow is individually scoped. Starting prices are published on our pricing page; we do not sell anonymous “automation packs”.

Problems this addresses

  • Work hops between spreadsheets, inboxes and disconnected tools with no single status view.
  • Approvals stall because nobody owns the next step or reminders depend on memory.
  • The same customer or job data is typed into multiple systems, introducing errors and delay.
  • Managers cannot see bottlenecks without manually chasing updates.
  • Seasonal volume exposes fragile manual workarounds rather than resilient processes.

How it works in practice

We document the as-is process, agree the to-be states, then implement automation in a staging environment you can validate. Orchestration may use integration platforms, custom services, webhooks and scheduled jobs, chosen for maintainability and your team’s skills, not fashion. Each step declares inputs, outputs, error handling and escalation paths. When a step fails, people receive actionable alerts; silent failure is treated as a defect.

BPA pairs naturally with AI Workflow Integration when new connections are required, and with How to Identify Processes Worth Automating when prioritising backlog items.

What can be automated

  • Lead or enquiry capture through CRM creation, assignment rules and team notifications.
  • Document intake, virus scanning hooks, naming conventions and folder or case routing pending approval.
  • Recurring operational checklists with manager visibility and exception highlighting.
  • Status synchronisation between field tools and office systems within API limits.
  • Renewal reminders, SLA timers and escalation when thresholds are breached.

Judgement-heavy steps such as negotiation, bespoke quoting and regulatory sign-off remain human-led, often supported by agents or forms that prepare structured inputs.

End-to-end process design example

Imagine a construction operator handling quote requests from website and email. Today, an estimator copies details into a spreadsheet, requests photos by reply-all, and manually opens a job folder. The redesigned flow: a unified intake records source, contact details and site address; validation ensures required fields; photos upload to controlled storage; a task is created for estimating with a checklist; missing information triggers a templated customer request; upon internal approval of the quote, the CRM stage updates and finance receives a structured handoff. Managers see pipeline stage and age without chasing individuals. None of this removes the estimator’s pricing judgement, it removes the administrative drag around it. Similar patterns apply in construction and field services and logistics.

Integrations and data

We inventory systems of record, identify master data fields, and agree direction of sync (one-way vs bidirectional). Authentication uses least privilege; credentials are stored securely and documented for your IT or operations owner. Where APIs are weak, we discuss pragmatic patterns, scheduled imports, middleware, or human-in-the-loop exports, rather than promising real-time magic. Data minimisation and retention align to your policies; formal compliance programmes are scoped when you require them.

Approvals built into the process map

Approval gates are embedded in the process model: who can approve, what happens on timeout, and whether partial approval is allowed. Sensitive actions such as issuing credits, altering contracts or publishing externally can require dual control. Audit logs support internal review. This mirrors the principles in Human Approval in AI Workflows.

Technical considerations

Idempotency prevents duplicate records when webhooks retry. Rate limits, timezone handling and local holidays affect SLAs. Version control and change logs apply to automation definitions as they do to application code. Disaster recovery means knowing how to pause automation and revert to manual runbooks without losing in-flight work.

Implementation process

  1. Discovery workshop and process map with named owners.
  2. Prioritised backlog with effort, risk and value estimates. Starting prices on the pricing page; final quote after discovery.
  3. Technical design: integrations, data mapping, approval matrix, monitoring plan.
  4. Build and staging tests with sample payloads you recognise.
  5. User acceptance, training, go-live with hypercare window.
  6. Retrospective and optional phase two expansion.

Validating end-to-end process flows

Test cases cover happy path, validation failures, integration outages and permission errors. Parallel runs compare automated vs manual outcomes before cutover. Post-launch monitoring tracks error queues, processing time and reopen rates. These are signals that the process itself, not merely the tooling, needs adjustment.

Improving processes after launch

Support tiers are defined in your proposal: incident response, integration updates when vendors change APIs, and periodic health checks. We train your team to recognise when a failure is operational (bad input) versus technical (broken connection).

Process automation boundaries

Automating a chaotic process freezes chaos faster. We decline or re-scope work when discovery shows missing ownership or contradictory rules. Legacy systems without APIs may constrain real-time automation; we document constraints early. BPA does not guarantee revenue growth, it guarantees clearer execution of work you already do.

Why custom design matters

Template automation products assume your stages match theirs. Your approval culture, naming conventions and client communication norms are specific. Custom BPA respects those differences and evolves with you. When off-the-shelf products force awkward workarounds across many workflows, Custom AI Business Platforms may be discussed as a separate track.

/Investment

Business Process Automation starting price

Development from €1,500 One-time starting implementation fee

Ongoing management from €250/month Optional starting monthly fee

Automation of a defined business process, connecting the relevant steps and reducing repetitive administration.

Ongoing management covers the agreed monitoring, maintenance and support requirements of your implemented solution. Final monthly fees depend on the systems, integrations and level of support required.

Ongoing management is optional. Documented handover without managed service is available when that arrangement suits your team.

What the starting development price covers

  • Assessment of one process.
  • Workflow design.
  • Implementation of a defined sequence.
  • A limited number of supported system connections.
  • Basic exception handling.
  • Testing and handover.

Complex branching, extensive integrations and multiple departmental workflows are separately scoped.

What ongoing management typically covers

Standard ongoing management covers the agreed maintenance and monitoring of the implemented solution. Each proposal identifies the covered systems, monitoring approach, corrective-work allowance, support hours or windows, reporting rhythm, usage limits and whether hosting is included. Unlimited support, unlimited AI usage and 24/7 coverage are not included unless expressly agreed. New features, additional integrations, API fees and AI model usage are quoted separately. For SEO & Digital Intelligence, monthly management covers the agreed analytics and reporting implementation, not a full SEO retainer.

What affects the final project cost

Workflow complexity, number of integrations, API quality, data requirements, security and permissions, interfaces, testing depth, and support obligations all influence the final quotation. Development and monthly management are never combined into a single published total.

Business Consultation & Discovery: €500

The full consultation fee is credited toward the related one-time development project when the agreement is signed within 30 calendar days of receiving the completed assessment. Discovery credit does not apply to ongoing monthly management fees.

Published prices show one-time starting development fees and starting ongoing management fees (/month). They exclude applicable taxes. Final invoices reflect the applicable tax rules for your customer type and place of supply.

/Q&A

Frequently asked questions

How is BPA different from RPA?

Robotic process automation often mimics clicks in legacy UIs. We prioritise API-first integrations and maintainable orchestration; UI automation is a last resort when documented and stable.

Can we automate multiple departments at once?

We recommend proving value on one end-to-end journey first. Parallel big-bang rollouts increase risk and dilute learning.

Do you replace our existing software?

No. BPA connects and orchestrates tools you already use where sensible. Replacement is a separate business decision.

Where do AI agents fit?

Agents handle unstructured interpretation; BPA executes defined outcomes once classifications or approvals exist. See Custom AI Agents for that layer.
